Guidelines for Presenters

Below you will find necessary information on preparation for your oral/poster presentation.

🎤ORAL PRESENTATION

Length of Presentations:

     Plenary lecture: 40 minutes + 5 minutes for Q&A
     Keynote lecture: 25 minutes + 5 minutes for Q&A
     Oral presentation: 15 minutes + 5 minutes for Q&A

Important Presentation Guidelines

  • All projection systems will utilize a 16:9 aspect ratio display.

  • Presentation slides must be submitted in either PowerPoint (.ppt/.pptx) or PDF format.

  • Oral presenters are required to submit their presentation files at least half a day prior to their scheduled presentation time to allow for verification and transfer to the appropriate conference room.

  • Personal laptops will not be permitted under any circumstances. All presentations must run on the designated conference equipment.

 

Preparation of Presentation Materials

  • Conference presentations will be displayed using laptop PCs running Windows 11. Presenters will not be permitted to use personal computers under any circumstances.

  • All projection systems will support a 16:9 aspect ratio display.

  • Presentation slides must be submitted in either PowerPoint (.ppt/.pptx) or PDF format.

  • To ensure proper font display across devices, please embed all fonts used in your presentation slides:

    • For PDF files, embed all fonts during the PostScript or PDF creation process.

    • For PowerPoint files, only TrueType and OpenType fonts can be embedded.

 

Presentation Delivery and Upload

  • Presenters must upload their presentation files here or submit directly to the Conference IT Center, located at the registration desk at least one day before the presentation date.

  • Files should be submitted as early as possible, and no later than half a day before the scheduled presentation time. This allows organizers to verify the content and transfer it to the appropriate conference room.

  • To avoid confusion during setup, please name your file using the following format: DDMMM_AuthorFirstNamefor example: 22Jun_Pinit

 

 

Preparing Your Media for Onsite Presentation

  • Save your files to a USB storage device, CD-ROM. If using a CD, make sure to finalize or close the session. Unfinalized CDs may not be accessible on other computers. 

  • Include all external files (e.g., video or audio clips) in the same folder as your presentation to avoid missing content during playback.

  • When transferring your presentation, copy the entire folder to your USB or CD to maintain file structure and links.

  • Create a backup copy of your presentation and pack it in a separate piece of luggage to safeguard against loss or damage.

 

 

Using Images in Your Presentation

  • Use JPG files for inserted images. This format is widely supported and helps keep file sizes manageable.

  • Images inserted into PowerPoint are automatically embedded in the presentation file. Ensure all visuals are properly placed before saving.

  • Avoid using images with a resolution higher than 75 dpi, as they unnecessarily increase the file size without improving display quality.

  • If your presentation includes music or audio, please notify the organizers well in advance so appropriate arrangements can be made.

 

Using Videos/Movies in Your Presentation 

  • It is essential to check all video files in advance to confirm they play correctly within your presentation.

  • Use lower-resolution videos when possible. These are typically effective and help reduce upload and playback issues.

  • We support a wide range of PC video formats, but videos must meet the following conditions:

    • Please compress your videos using modern codecs such as MPEG-4. Uncompressed files are large, slow to upload, and do not offer better quality.
    • We accept videos in MPG, WMV, or AVI formats using the following codecs: MPEG-4 (DivX, Xvid) and WMV
    • Unsupported Formats: Apple QuickTime formats such as MOV, QT, MP4, or DV are not supported in Windows PowerPoint.

 

🧾POSTER PRESENTATION

Poster Size & Layout

  • Posters should be in portrait orientation, with a maximum size of 85 cm (width) × 120 cm (height). 
  • The optimal size is A0 (841 mm × 1189 mm). 
  • To ensure readability, all text should be at least 1 cm high.

 

Poster Organization

  • Posters will be numbered, listed, and grouped according to presentation topics.

  • Authors are expected to be present at their posters during the scheduled session to discuss their work with attendees.

 

Poster Sessions

  • Posters will be presented during two main sessions:

    • 📅 Tuesday, 23 June | 16:30–18:30 (Session 1)
    • 📅 Thursday, 25 June | 16:30–18:30 (Session 2)

 

Mounting Instructions

  • Please do not mount posters larger than the allowed area.
  • The poster area will be open for setup starting Monday, 22 June at 08:00.
  • Be sure to note your abstract number and assigned poster board before hanging your poster.
  • Assistants will be available onsite to provide materials and help locate your poster board.

 

Poster Removal

  • After Session 1 ends on Tuesday, 23 June at 18:30, authors are kindly requested to remove their posters to allow setup for Session 2.
